Get My Host Resources

1. Get Yourself Registered

  • As a Watch Party host, you’ll receive free registration for the conference.
  • You’ll also be given a unique registration link to promote to attendees in your region.
  • Make sure your registration is completed early so you can secure all host resources and communications.

2. Invite Your Community

  • Use your unique registration link to invite students, mentors, youth groups, parents, and church leaders.
  • Leverage these channels: email, social media, school/youth newsletters, local churches, community groups.
  • Use the promotional assets provided (graphics, email copy, social posts) to make inviting easy and visually engaging.

IMPORTANT CHECKPOINTS & DATES

WHEN

WHAT TO DO

4–6 weeks before

Confirm your venue and tech setup. Begin promoting your Watch Party locally.

3 weeks before

Attend the host training, equipping, and commissioning call. We’ll walk through play-by-play, answer questions, and share best practices. We’ll also spend time together praying over our attendees.

2 days before

Contact all registered attendees with reminders, directions, and what to bring.

1 day before

Test all AV systems, internet, screen, and playback. Walk through transitions and flow.

FINAL WEEK BEFORE THE EVENT

Reach Out to Your Attendees

Confirm arrival info, parking, arrival time, what to bring (phone, note, snacks, etc.). Send reminders 1 week before and 1 day before to reduce no-shows.

Test Your Technology

  • Confirm your screen, projector/TV, HDMI cables, audio system, and WiFi are working smoothly.
  • Our streaming will likely be via a Vimeo embed or other platform. We’ll share the streaming link with you ahead of time.
  • In regions where certain video platforms are blocked, you may need a VPN—please test this ahead of time.

     

Walk Through the Flow

Practice starting the stream, pausing for discussion, rejoining the video, and closing. Know your timing and transitions.

FREQUENTLY ASKED QUESTIONS

What is the cost to host?

Hosting is free. We cover your registration and give you tools to host. Any refreshments or venue‐specific costs are yours alone.

What does “hosting” require?

A screen/projector, WiFi, space for attendees, and a desire to bring students together. We provide the content and facilitation materials.

What if someone shows up who hasn't registered?

No problem. They can register on the spot using your registration link or via mobile sign-up.

How many people should I plan for?

Standard Watch Parties host 10–20, but many go larger (50+). Configure based on your space.

Will I know who’s coming?

Yes. You’ll receive attendance reports and weekly registration updates via email—be sure to check spam/junk folders.

Do I need to check in attendees?

No formal check-in is required. Registered attendees will receive their own digital confirmation.

What if some attendees don’t show up?

The recorded content will be accessible afterward for all registrants, so they can catch up later.

Can I change my Watch Party’s location later?

Yes. You can register a new location and cancel the old one if necessary through your registration email.
